Background:

The client has been working with SYSCOM for over 15 years. While their internal IT team managed most of the relocation process, they entrusted SYSCOM with certain key tasks.

2. Service Provided

In the U.S., it’s common for office leases to be renewed every 5-10 years, often requiring relocations more frequently than in Japan. Since 1990, SYSCOM has been supporting Japanese-affiliated companies in the U.S. with IT infrastructure implementation and maintenance.

During office relocations, SYSCOM offers end-to-end IT-related support, including:

  • Internet line setup
  • Cabling
  • Building and relocating network environments
  • Procuring and moving IT equipment
  • Physical relocation assistance
  • Project management for office setup in collaboration with general contractors

Our experience ranges from small offices with just a few employees to large offices with hundreds, servicing locations nationwide, including New York and California.

3. Project Scope and Challenges

For this project, SYSCOM was responsible for tasks such as network setup, cabling, and installing desk equipment like monitors. The scope of work was clearly defined and agreed upon before starting the project.

4. Implementation Strategy

SYSCOM assigned a seasoned project manager with extensive experience in relocation and IT project management. By maintaining close communication with the client and general contractors, the project was successfully completed on schedule.

Our team visited the site multiple times, enabling face-to-face discussions with on-site stakeholders. By addressing potential issues ahead of time and maintaining regular updates with the client, we ensured smooth project execution.

Key considerations included:

  • Aligning the construction schedule with the client’s preferred moving date
  • Managing dependencies like timely internet installation to meet relocation deadlines
  • Adapting to varying requirements for contractor insurance and certifications based on state and building regulations

Proactive coordination with building management and contractors was crucial to the project’s success.

5. Results

  • Successful IT infrastructure relocation for an office with approximately 70 employees

6. Reasons for Choosing SYSCOM

The client’s trust in SYSCOM was built over years of partnership and successful past projects. Having previously handled the client’s office relocation, our deep understanding of their network environment allowed for seamless project execution.

We have successfully completed over 200 projects, from small offices to facilities for 300+ employees, supported by a dedicated team of about 10 project management specialists.
